The Trottier Institute for Research on Exoplanets (iREx) includes a growing team of around 60 people from the Université de Montréal, McGill University, Bishop’s University, Université Laval and the Rio Tinto Alcan Planetarium, all working on various research programs on the study of exoplanets and other related areas of stellar astrophysics.

In addition to its research program, the Institute also has a dynamic education and public outreach programme led by professional science communicators. The iREx benefits from a strong partnership with the Observatoire du Mont-Mégantic (OMM), which includes a 1.6-m diameter telescope, the largest on the East Coast of North America, used by professional astronomers from Quebec and elsewhere, as well as an experimental astrophysics laboratory that designs state-of-the-art astronomical instruments intended for the largest observatories, on the ground and in space.

Description of the position

Under the direction of the Deputy Director of the iREx and OMM, you will be responsible for assisting the iREx and OMM research team in the administrative management of their projects and the institutes’ communications and events planning.

Your day-to-day duties
  • Coordinate and participate in the drafting of activity reports. Draft and assemble sections such as financials, outreach and scientific collaboration.
  • Plan and coordinate the overall organisation of various activities such as conferences, summer schools, and training workshops. Assign and verify work entrusted to suppliers such as graphic designers, webmasters, translators, and print shops.
  • Draft various documents such as activity programs, communications, and advertising content. Conduct literature searches and read summaries based on established general themes.
  • Develop specific scenarios and financial plans for research projects and grant applications. Carry out budget forecasts and comparative and temporal analyses.
  • Plan, coordinate, and monitor various projects and activities such as subscription campaigns, scholarship program administration, student recruitment and support, advertising, and budget control.
  • Act as a resource person, communicating and following up with researchers, invited guests, funding agencies, and partners.
What you need to succeed in this role
  • Bachelor’s degree in an appropriate field of specialisation (physics, astronomy, journalism, communications, education, management, administration or another discipline deemed relevant).
  • One year’s experience (an asset).
  • Knowledge of research (particularly astronomy) or grant funding (an asset).
  • Knowledge of graphic or video editing software (e.g. Photoshop, FinalCut, AfterEffects, etc.) and standard office software (an asset).
  • French and English bilingualism (an asset).
