The Trottier Institute for Research on Exoplanets (iREx) includes a growing team of around 60 people from the Université de Montréal, McGill University, Bishop’s University, Université Laval and the Rio Tinto Alcan Planetarium, all working on various research programs on the study of exoplanets and other related areas of stellar astrophysics.

In addition to its research program, the Institute also has a dynamic education and public outreach programme led by professional science communicators. The iREx benefits from a strong partnership with the Observatoire du Mont-Mégantic (OMM), which includes a 1.6-m diameter telescope, the largest on the East Coast of North America, used by professional astronomers from Quebec and elsewhere, as well as an experimental astrophysics laboratory that designs state-of-the-art astronomical instruments intended for the largest observatories, on the ground and in space.

Description of the position

Under the direction of the Deputy Director of the iREx and OMM, you will be responsible for assisting the iREx and OMM research team in the administrative management of their projects.

Main Responsibilities
  • Discuss the projects and administrative files to be undertaken with staff in order to understand the precision required and the requirements of the projects;
  • Carry out and follow up on various projects and files such as grant allocations, purchase of materials, reimbursement requests;
  • Prepare forms and collect required approvals;
  • Attend meetings;
  • Compile, codify, analyze and prepare data, statistics and reports related to the administration of financial and material resources;
  • Update information in computer systems and websites;
  • Propose, develop and modify work tools using office automation software to monitor administrative parameters such as purchasing, filing and spending;
  • Collect, explain and disseminate current administrative policies and procedures to staff and students;
  • Participate in training activities to keep informed of new administrative procedures and computer systems;
  • Induction of new technicians;
  • May be required to perform related or lesser duties and responsibilities.
Qualifications
  • Education | College diploma in administration, accounting or office automation or equivalent;
  • Experience | One year of relevant experience;
  • Other | Mastery of common office software;
  • Interpersonal skills (customer approach) and technical information dissemination (an asset);
  • Knowledge of the research or grant funding environment (an asset);
  • Bilingualism (an asset).

Information about this position

• Part-time contract position (until February 2024), 21 hours per week, starting as soon as possible, with possibility of conversion to regular and/or full-time position. Affiliated with the Syndicat des employés et employées de la recherche de l’Université de Montréal (SERUM-PSA).
